Project Coordinator
The on-site admin must be flexible and able to manage unexpected requests as required, while working with a wide variety of internal and external stakeholders. This role is ideal for a motivated individual with an aptitude for problem-solving, learning, and organizing in a face paced environment..
The Project Coordinator plays a pivotal role in supporting the installation of Eaton products and on-site service work. This is an opportunity to work as part of a collaborative and motivated team that includes project managers, the local service team, and other key stakeholders such as for EHS, documentation, and program management.It is expected that the on-site coordinator will comport themselves in a manner consistent with the Eaton company culture, where we work as one team to achieve industry-leading results. The role requires an excellent communicator who can organize their own, and other’s work in an international environment.
The coordinator is expected to contribute to a positive team spirit as Eaton deliver “packages,” such as UPS and batteries via Eaton’s own managers, service, and those of 3rd parties under Eaton’s responsibility.
The role requires a confident, self-motivated and process driven individual, who can work to tight deadlines while ensuring both internal and relevant costumer processes are followed without ever compromising Eaton ethical, safety, or quality standards.
Daily responsibilities include but not limited to:
- Collation and filing of the completed and signed Daily Task EHS documentation while maintaining the EHS folder both electronic and hard copies.
- In absence of the EHS Manager create toolbox talk for the team and attend the EHS meetings.
- Safety training coordination for (new) personnel and visitors; This includes liaise with 3rd parties to extract personnel information and documentation.
- Logging and loading personnel onto the Data Scope System (Site Personnel Management system).
- Book, track and chase deliveries and arranging Eaton presence where required.
- Collation and processing information of time sheets in order to generate overviews and statistics.
- Maintaining a daily works schedule to record daily task progressing.
- Insuring the collection and collating of Third Party test results / calibration certificates and filing on the Share point in the correct folder (UPS package).
- Insuring the collection and collating of Eaton test results from the site engineers and filing on Share point in the correct folder.
Weekly responsibilities include but not limited to:
- Attending the Weekly toolbox talk - collate / file sign off sheets.
- Maintain a weekly works schedule to record weekly task progressing.
- Chairing a weekly progress meeting and sharing results with Management Team.
Other general responsibilities include but not limited to:
- Continuous optimization of all (administrative) processes.
- Ensuring a clean desk policy is always maintained.
- Ensuring all office stationary requirements are available.
- Maintain the EHS HRA wall with weekly information on site works.
- Collation of 3rd party part and serial numbers and adding to the customer asset control system.
- During rotation or absence of team members, cover meetings and represent as a spokesperson on site.
- Any other reasonably requested tasks to ensure the smooth running of the project.
